Position: Document / Tender Officer

Reports to: Operations Director

Job Overview
The Document/Tender Officer is responsible for managing tender submissions, maintaining documentation, and ensuring compliance on platforms like NipeX, NAPIMS, and other regulatory portals.
Key Responsibilities
Tender Preparation and Submission
- Compile and submit technical and commercial bid documents in line with tender requirements.
- Coordinate with internal teams to gather and verify accurate information.
- Manage submission deadlines to ensure timely delivery.
Documentation Management
- Maintain up-to-date records of certifications, permits, and statutory requirements.
- Ensure documents comply with regulatory standards and are easily retrievable.
Regulatory Compliance
- Monitor updates on platforms like NipeX and NAPIMS to ensure adherence to guidelines.
- Facilitate renewal and submission of permits, insurance, and tax clearances.
Stakeholder Communication
- Liaise with clients, regulatory bodies, and internal departments regarding tenders.
- Provide management updates on tender progress and compliance status.
Process Optimization
- Identify and implement ways to improve tender and documentation workflows.
- Develop templates and checklists to enhance efficiency.
Quality Assurance
- Review tender documents for accuracy, completeness, and compliance.
- Maintain consistent branding and high-quality presentation in all submissions.
Requirements
Skills and Attributes
- Strong organizational and multitasking abilities.
- Attention to detail and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication and time management skills.
- Experience with platforms like NipeX and NAPIMS is a plus.
Qualifications
- Bachelor’s Degree in Business Administration, Engineering, or a related field.
- Minimum 3–5 years of experience in tender preparation or documentation within the oil & gas sector.
- Knowledge of procurement and tendering processes is essential.
Salary & Benefits
- ₦200,000 – ₦250,000 per month.
- HMO, Pension, and additional benefits (discussed during the interview).
