Job Summary:
The Project Administrator, reporting directly to the Program Manager with a dotted line to the Operations Lead, TechnoServe Nigeria, plays a crucial role in supporting project activities to ensure efficient and compliant implementation. This position requires agility and dynamism to manage resources effectively and ensure impactful project outcomes. The Project Administrator will oversee logistics, office management, procurement, and general administrative duties that align with TechnoServe and FCDO policies and regulations.
Key Responsibilities:
- Oversee end-to-end logistics, including fleet and resource management, and support office administration by organizing procurement processes and providing guidance on procurement compliance.
- Plan and coordinate project events and meetings, including training sessions, workshops, conferences, and team meetings to ensure smooth execution and management.
- Ensure project activities and staff adhere to country safety and security plans, and manage local legal and statutory requirements.
- Manage document filing systems and ensure all documents are organized and maintained for auditing purposes; develop administrative procedures as needed.
- Provide support to junior staff, such as drivers and office cleaners, to ensure optimal performance, and coordinate project team and consultant meetings.
- Prepare accounts payable documents, including invoices and payment requests, for approval.
Qualifications:
- Bachelor’s Degree in Business Administration, Economics, or a related field, OR at least 2 years of professional experience in procurement, logistics, and office administration.
- Advanced proficiency in Microsoft Excel and a basic understanding of field accounting software packages.
- Experience with donor-funded projects, and ability to manage multiple tasks with competing deadlines; experience coordinating junior-level staff.
- Proficiency in written and spoken English.
- Minimal travel required.
- Strong sense of collegiality, integrity, and accountability for results.
- Excellent interpersonal and communication skills with a critical-thinking mindset to assess risks and escalate as needed.
- Creative and entrepreneurial problem-solving approach, with resourcefulness in handling administrative and logistical challenges.
