Job Overview for Deputy Pharmacist

Job Function

This role oversees the quality oversight of operations, including Health, Safety, and Environment (HSE) activities. Within the Distribution Centre (DC), the Deputy Pharmacist ensures alignment with regulatory standards. The role collaborates with site teams to drive continuous improvement. It supports risk assessment and incident reporting.

Core responsibilities include overseeing quality control measures, monitoring HSE practices, and ensuring all DC operations comply with pharmaceutical regulations. The Deputy Pharmacist establishes quality metrics and audits to verify process adherence. They also ensure documentation, training, and supplier controls meet regulatory expectations.

In simple terms: this role sits at the intersection of pharmacy, logistics, and regulatory compliance — ensuring that pharmaceutical products move through the supply chain safely, correctly, and in full compliance with the law, from the moment they arrive at the warehouse to the moment they’re dispatched to customers.

Key Responsibilities

Operational & HR Management

  • Oversees the registration, renewal, and maintenance of the annual premises license for the Pharma warehouse.
  • Ensures compliance and monitoring of all operational staff with GWP (Good Warehousing Practice) and GSP (Good Storage Practice) — internationally recognized standards that govern how pharmaceutical products should be stored and handled to preserve their safety and quality — as well as agreed client Standard Operating Procedures (SOPs).
  • Drives a strong quality culture across the DC, covering the receipt, storage, dispatch, and distribution of all products.
  • Prepares and forwards monthly reports to line managers in the agreed format, and works with the ICT Manager on weekly and monthly security systems reporting.
  • Ensures adherence to Service Level Agreements (SLAs) — the contractual performance standards agreed with clients.
  • Supports the monitoring and evaluation of third-party service providers, and leads DC-side engagement during internal and client audits, as well as other regulatory inquiries.
  • Ensures full regulatory compliance across the DC and carries out scheduled self-inspections to confirm standards are being maintained.

Customer Service

  • Ensures efficient service delivery to customers and prompt resolution of quality complaints — within 24 hours.
  • Escalates unresolved quality complaints to clients or line managers immediately if they extend beyond the 24-hour resolution window.

Storage Management

  • Ensures products are stored within the correct temperature range, with ongoing monitoring and reporting — a practice known as cold chain management, which is critical for preserving the effectiveness of temperature-sensitive pharmaceutical products.
  • Ensures 100% accuracy in batch tracking and shelf-life management across all product categories.
  • Ensures proper handling of all controlled drugs, including accurate entries into the poison book.
  • Ensures damaged and expired products are stored and managed in segregated areas, in line with quality and regulatory standards.
  • Reviews, investigates, resolves, and reports on quality complaints, deviations, and discrepancies — escalating any deviation that could affect product quality in storage or distribution.
  • Facilitates the management of products placed on NAFDAC HOLD (products flagged by Nigeria’s National Agency for Food and Drug Administration and Control pending further review), including their control, sampling, and eventual release.

Assets & Risk Management

  • Supports the maintenance and management of DC operational and quality assets, including security systems, air cooling systems, generators, and Material Handling Equipment (MHE).
  • Ensures these assets are serviced on schedule.
  • Ensures all temperature monitoring and recording devices meet required standards through proper calibration, re-calibration, and validation.
  • Performs root cause analysis on deviations and develops CAPA (Corrective and Preventive Action) plans to prevent recurrence — a standard quality management approach used to address the root cause of a problem rather than just its symptoms.

Health, Safety & Environment (HSE)

  • Promotes a strong culture of safety, aligned with MDS HSEQ policy and guidelines.
  • Coordinates all HSE activities within the DC.
  • Ensures adherence to operational and asset maintenance guidelines to prevent incidents.
  • Ensures periodic staff training on HSE policies, Safety, Health and Environment (SHE) standards, and operational SOPs.
  • Ensures fire drills are conducted on schedule.

Requirements

Educational Qualification:

  • Bachelor’s Degree in Pharmacy (B.Pharmacy.) or a related field.

Experience & Skills Required:

  • 2–5 years’ experience in a supply chain quality management system.
  • Sound understanding of HSE, quality, and regulatory management systems.
  • Experience with cold chain storage management.
  • Experience working with regulatory agencies such as the Pharmacists Council of Nigeria (PCN) and NAFDAC.
  • Experience with Warehouse Management Systems (WMS), including SAP or related software.
  • Strong skills in process/workflow management and Standard Operating Procedure (SOP) development and management.
